Administrative Assistant to President

Position Summary: 20 hours per week to full-time
Position begins January 5, 2010

To provide administrative support to the President of the Seminary and to the Director of Advancement and Constituency Relations (DACR).

Duties and Responsibilities

1. Administrative Assistant to the President:
a. Maintain daily schedule.
b. Make travel arrangements.
c. Handle correspondence for President in Constituency Relations.
d. Open and sort mail pertaining to President’s office.
e. Make appointments for President and screen calls.
f. Coordinate plans for faculty/staff retreat.
g. Coordinate commencement activities.
h. Maintain Master Calendar of Seminary and community events.

2. Recording secretary for Board of Directors
a. Notify board members of meetings and coordinate accommodations.
b. Prepare and distribute agenda and reports.
c. Record and distribute minutes of board meetings.

3. Administrative Assistant to the DACR
a. Receive and file reports from donor development staff.
b. Distribute reports monthly to donor development staff.
c. Prepare donor development packets and supply donor development staff with materials.
d. Coordinate the preparation of “thank you” letters and receipts to all donors.
e. Coordinate the preparation of direct mail appeals.
f. Maintain Seminary representative files and forward pertinent information to Seminary representatives.
g. Coordinate Seminary reports to National, Provincial, and District Conferences.

4. Other duties as assigned by the President or DACR.

Qualifications:
1. Administrative Assistant experience.
2. Good written and oral communication skills.
3. Experience with word processing and spreadsheet software.
4. Good analytical skills.
5. Must exhibit sensitivity in working with confidential information.
6. Experience in an educational institution helpful, but not required.
7. Agreement with MB Confession of Faith.
